Introduction
These Terms and Conditions (“Terms”) govern your use of the Terra Drive Safari website located at [www.terradrivesafari.com] and your engagement with our car rental and safari services. By accessing this website or using our services, you confirm that you have read, understood, and agree to be bound by these Terms. If you do not agree, please do not use our website or services.
Services Offered
Terra Drive Safari provides two primary services: (a) vehicle rental for self-drive or chauffeured use within Rwanda, and (b) guided safari packages to Rwanda’s national parks and wildlife destinations. All services are subject to availability and confirmation by our team.
Car Rental Terms
3.1 Eligibility To rent a vehicle, you must be at least [e.g., 23] years of age and hold a valid driver’s license that has been held for a minimum of [e.g., two] years. International renters must present a valid passport and, where applicable, an International Driving Permit (IDP) recognized in Rwanda.
3.2 Required Documents At the time of vehicle collection, renters must present: a valid driver’s license, a national identity document or passport, and a credit or debit card for the security deposit. Failure to produce required documents will result in the rental being declined without refund of any booking fee.
3.3 Security Deposit A refundable security deposit of [Insert Amount] is required at the time of vehicle collection. The deposit will be returned upon the safe return of the vehicle in its original condition, subject to inspection.
3.4 Permitted Use Vehicles must be used only for lawful purposes on roads appropriate for the vehicle type. Driving on roads unsuitable for the rented vehicle category, unauthorized cross-border travel, or use of the vehicle for commercial purposes (including sub-letting) is strictly prohibited.
3.5 Fuel Policy Vehicles are provided with a full tank of fuel. They must be returned with a full tank. If the vehicle is returned with less fuel than provided, a refueling charge plus an administrative fee will be deducted from the security deposit.
3.6 Insurance and Liability All rentals include comprehensive insurance coverage. The renter remains liable for damages up to the agreed excess/deductible amount. Terra Drive Safari accepts no liability for personal belongings left in the vehicle. Additional insurance coverage may be purchased at the time of booking.
3.7 Traffic Violations and Fines The renter is solely responsible for any traffic fines, parking violations, or penalties incurred during the rental period. Any such charges passed to Terra Drive Safari will be recovered from the renter, including an administrative handling fee.
3.8 Breakdown and Accidents In the event of a breakdown or accident, the renter must contact Terra Drive Safari immediately on +250 XXX XXX XXX. The renter must not authorize any third-party repairs without prior written consent from Terra Drive Safari.
3.9 Cancellation — Car Rental Cancellations made more than [e.g., 48 hours] before the scheduled pickup time will receive a full refund. Cancellations within [e.g., 48 hours] of pickup are non-refundable. No-shows are non-refundable.
Safari Booking Terms
4.1 Reservations and Deposits A non-refundable deposit of [e.g., 30%] of the total package cost is required to confirm a safari booking. This deposit covers administrative costs and, where applicable, the procurement of government-issued permits (including gorilla trekking permits).
4.2 Full Payment The remaining balance is due no later than [e.g., 30 days] before the scheduled departure date. Bookings made within 30 days of departure require full payment at the time of booking.
4.3 Cancellation — Safari Packages Cancellations made [e.g., 60 or more days] before departure will receive a refund of the balance paid, minus the initial deposit and any non-recoverable permit costs. Cancellations made within [e.g., 30–59 days] of departure will forfeit [e.g., 50%] of the total package cost. Cancellations within [e.g., 30 days] of departure are non-refundable.
4.4 Gorilla Trekking Permits Gorilla trekking permits are issued by the Rwanda Development Board (RDB) and are strictly non-transferable and non-refundable once purchased, in accordance with RDB policy. Terra Drive Safari will not be held liable for permit unavailability due to circumstances beyond our control.
4.5 Itinerary Changes Terra Drive Safari reserves the right to modify safari itineraries due to weather conditions, park closures, wildlife activity, or other circumstances beyond our control. We will endeavor to provide equivalent alternatives and will communicate any changes promptly.
4.6 Client Responsibility Clients are responsible for ensuring they hold valid travel documents, visas, and any required vaccinations for travel to Rwanda. Terra Drive Safari accepts no liability for travel disruptions arising from inadequate documentation.
